Fleet Management

Fleet Servicing Tracker - 30-Vehicle Logistics Company

Context. A logistics company running its own 25-30 vehicle workshop tracked servicing in a single spreadsheet - noting new work by hand, then checking each vehicle's rego against it to see what was due.

Why it mattered. The workshop manager spent two hours a week just checking nothing got missed. The operations manager needed the same visibility, so the two of them regularly sat down over the spreadsheet together. Forgotten parts added further delays keeping vehicles off the road.

What we built. The fleet was already tracked by kilometres through telematics, so we pulled that into a database against full servicing history - what's done, what's due, when. We built an app for the team: tick-box tracking, automatic alerts before a service is due, and secure storage for compliance certificates. Both managers now see what's coming, independently.

Outcome. Between manual checking, joint spreadsheet sessions, and parts delays, the business was losing a minimum of 10 hours a week - likely more as the fleet grows. That time's back, and the fleet's servicing and compliance history now lives in one secure system.

Operations Reporting

Daily Efficiency Reporting - Toilet Servicing Company

Context. A toilet servicing company wanted a daily efficiency rating pulled from four different sources - HR clock in/out times, geofencing for site arrivals and departures, services completed, and kilometres and fuel used. Compiling it into one spreadsheet took someone two hours every day.

Why it mattered. Two hours a day went into just assembling the numbers, before anyone could act on what they meant. Efficiency was only ever visible after the fact, once someone had manually pulled it together.

What we built. We connected all four sources - HR data, geofencing, service completions, and fuel/kilometres - into one automated feed, with AI generating a daily efficiency report the whole team could see.

Outcome. The two hours a day of manual compiling disappeared. The bigger shift came once everyone could see the numbers daily - the team started finding its own efficiencies, lifting services done per kilometre travelled, and increasing profit.

Financial Reporting

Daily Financial Dashboard - Finance Director, Large Servicing Business

Context. A finance director at a large servicing business wanted to see the company's exact financial position against targets and key metrics every day, not just at month-end.

Why it mattered. Without daily numbers, decisions were being made on stale information - no real sense of how the business was tracking until reports were eventually pulled together.

What we built. We extracted data straight from Xero and built the dashboards they actually wanted, showing daily financial position against targets and key metrics automatically.

Outcome. Instead of waiting on periodic reports, the business now has a live daily view of its financial position - the numbers it needs to steer decisions and drive it forward.

Support & Ticketing

Email & Call Triage Automation - Large Servicing Business

Context. The business was getting 300 emails and 100 phone calls a day, all landing in Outlook with no way to tell where they were coming from or who they were from.

Why it mattered. Without visibility into where enquiries originated, there was no way to categorize them, understand the customer behind them, or work out what could run automatically versus what needed a person.

What we built. We moved everything out of Outlook and into Zoho, then used AI to categorize every ticket and work out where it was actually coming from. Phone calls were recorded and transcribed so the team could see exactly who they were dealing with and cross-reference that against other data, like how much each customer was spending. From there we automated what could run without anyone touching it, and kept making incremental changes as new patterns showed up.

Outcome. Roughly 30% of the workload now runs automatically. Work that used to take one person about 40 hours a week takes a fraction of that, with faster response times, quicker servicing, and nothing falling through the cracks - freeing the business up to grow.
